Casual - Family Respite Centre

The Family Respite Centre offers a great team atmosphere, home-like setting providing services to clients and their families who are seeking respite care in the community. Clients are short-stay in our 12 bed overnight unit or attending our Adult Day Program.
Position Overview:
We are seeking an Administrative Assistant on a casual basis, who enjoys working in a healthcare setting and providing a variety of clerical duties. You work with a team of dedicated staff by providing receptionist duties to support clients, families and visitors attending the Family Respite Centre.
Key Responsibilities:
1. Perform reception duties such as respond to general enquiries from a variety of external sources, receive and redirect telephone calls as necessary on a multi-line telephone system. Receive and direct visitors.
2. Process internal and external mail, email and fax communications. Sign for receipt of packages.
3. Perform general clerical duties to include setting up and maintaining electronic and paper systems for record keeping purposes.
4. Perform administrative duties to include inputting and preparing documentation to include client information, registers, logs, reports, charts, tables, letters, education material and related documentation by using word processing, spreadsheets, graphics and databases.
5. Perform general staffing and scheduling functions.
6. Collate and process billing information. Maintain records, reconcile revenue monies.
7. Gather and compile information as required for statistical purposes.
8. Assist with facility arrangements such as transportation, meals, laundry, maintenance and janitorial requirements by obtaining information and completing related documentation.
9. As directed, circulates organizational documentation.
10. As required, contact suppliers, place orders, receive, store and distribute supplies.
11. Operate and maintain related office equipment and clerical supplies. As required, monitor office equipment and arrange maintenance and service.
12. Perform other related duties as assigned.
Required Qualifications:
• Grade 12.
• Completion of a six month Office/Administrative Assistant certificate program from a recognized college.
• Two years recent related experience.
• Or an equivalent combination of education, training and experience.
Skills and Abilities:
• Ability to word process at 50 wpm.
• Ability to operate and maintain software programs at an advanced level, such as Microsoft Word, Excel and related databases.
• Ability to demonstrate respect for the rights, confidentiality, dignity and self-esteem of those who are elderly, physically disabled or cognitively impaired.
• Ability to communicate effectively, both verbally and in writing.
• Ability to prioritize conflicting duties and organize workload.
• Ability to follow instructions and work independently.
• Physical ability to perform the duties of the position.

• Salary Range $24.76- $26.38 (April 1, 2024 rates)
• Positions covered by HEU Community Subsector Collective Agreement.

The Family Respite Centre is located in the Killarney area of Vancouver. Easy commute – bus stops in front of the building or there is free neighbourhood street parking.
